When looking to rent office space you will need to do as much research and business planning as possible.
This will include using all available avenues including newspapers, libraries, estate agents and of course the internet where all of the above choices are available at the click of a button.
You can look for serviced offices that have reception services, parking, shared kitchen, security, receptionist or PA facilities and bathroom facilities or premises that are self contained and completely separate from any other company.
Your choice will depend upon your particular line of work and the number of employees you need to accommodate, some serviced offices will not be able to open at the weekend or in the evenings so be certain that you are happy with the arrangements.
It is possible to rent office space in a city location or town centre that enables good access to rail and road links but you will pay a premium for this kind of space and you are also more likely to miss out on parking facilities as most town centre office space will not come with parking facilities and visitors and staff will be expected to make their own private arrangements with the local car park operators.
Locations that are a bit further out of town will possibly be cheaper and have extra facilities and features. Parking, shared gardens, even gyms and concierge services could all be provided and included in the rent.
If you need to give a good impression to your clients then you will be concerned about the fixtures, decorations and surroundings, although the location can be just as important in order to portray the vision and image of the company which you are promoting.
On the other hand if you do not need to invite clients or customers to visit you in the office then you might like to consider leasing a smaller space in a less desirable area thereby saving money on the rental.
You could also be lucky where location is not of much consideration to find warehouse space at a very reasonable price, although this may infer that you may need to make your own security arrangements which may be electronic and/or manned security.
If you are going to rent office space then take time to inquire about similar properties in the area either directly or indirectly to ensure that you will be paying a reasonably priced rent.
This will also give you some leverage when negotiating and securing a better deal. In the current economic climate there are some properties that have been empty for a while and landlords or estate agents may be willing to reduce the rent and/or provide extra facilities for the commercial property.
Your legal advisor will be able to go through the terms and conditions of the new agreement and time spent on this may be rewarded by lower costs and better facilities.
Alternatively you could also hire a commercial property consultant to help you negotiate the right agreement for the property/office space which you wish to acquire for your business, but this will usually only be suitable if you have a high number of staff and require very large premises as the cost of hiring the consultant must be factored into the total cost of acquiring the said office space.
